Introduction

This document describes a format for the 949 tag that will be used by all UMS campuses to convey holdings data to the CARL OCLC loader programs. Once an OCLC record has been loaded into a campus database, its 949 tag(s) will appear as part of the MARC display, but will not play any role in the CARL system. In particular, adding, changing, or deleting a 949 tag online using the MNT Bib Modify function will have no effect on the CARL holdings records. Note also that existing 949 tags are not retained if the bibliographic record is overlaid in the campus database.

The 949 tag should be used when a work is cataloged on OCLC for the first time. Once a bibliographic record is in the campus database, additions, changes, or deletions to holdings records should be made online using the CRC Item Conversion or Item Edit functions.

The 949 tag is repeatable. It is not mandatory, although some campuses may wish to have "dummy holdings" created for new records that arrive with no 949 tag.

SUBFIELDS

The following 949 subfields will be recognized by the CARL loader program:

$a OCLC code and input stamp(s)
$b item number(s)
$c call number override
$d first tier
$e second tier
$f third tier
$g fourth tier
$h branch override
$l location override
$m media code override
$n note
$p price

All subfields are nonrepeatable. If more than one occurrence of a subfield is included in a 949 tag, only the first occurrence will be processed. Only subfields $a and $b are mandatory. Subfields may occur in any order, except that subfield $a is understood to occur first. Spaces may be included between subfields if desired for readability.

$a OCLC holding library code, possibly preceded by input stamp(s). For all items listed in subfield $b, will determine the default branch, location, and media code. If the OCLC code is missing or invalid (not recognized for the campus), defaults will be branch UNKNWN, location blank, and media code XXX.
$b One or more item numbers, separated by commas. If an item number is missing, badly formed, or invalid (bad check digit), a "placeholder" holdings record will be loaded with a dummy item number and the record will be reported out.
$c Call number override. For all items listed in subfield $b, will override the call number derived according to the campus' call number precedence rules from the bibliographic tags (099, 090, 050, etc.).
$d-g Up to four tiers of captioned or uncaptioned data, in the form v.n where v is the one-character caption code, "." separates caption from data, and n is tier data. Tier data may be represented as a single string, range, or series.

Single string. Any string up to 10 characters in length.

Range. Indicated by "-" separating two numeric strings. Only the LAST tier should be represented as a range. Subfield $b should contain one item number for each item in the range.

Series. Indicated by "," separating strings up to 10 characters in length. Only the LAST tier should be represented as a series. Subfield $b should contain one item number for each item in the series.

           $d.index $ev.1,2,4 $b_____,_____,_____

Subfields $d-g should be used in order. For example, subfield $e should not be used without subfield $d. The "." separator and at least one character of tier data are mandatory. Caption codes will be validated against the UMS list.

If no caption code is present, tier data will be loaded as a "literal" (no scanning for range, series, or nonnumerics), and will always be left-justified in the bucket. If a caption code is present, tier data will be scanned for "-" (signifying range), "," (signifying series), and nonnumerics (right-justify if none are found; left-justify otherwise). A special caption code "%" will be recognized by the loader only. It will indicate that tier data is to be scanned for range, series, and nonnumerics, but loaded with no caption.

$h Branch override. For all items listed in subfield $b, will override the default branch defined for the OCLC code/input stamp(s) in subfield $a. Branch codes will be validated against the campus list.
$l Location override. For all items listed in subfield $b, will override the default location defined for the OCLC code/input stamp(s) in subfield $a. Location codes will validated against the campus list.
$m Media code override. For all items listed in subfield $b, will override the default media code defined for the OCLC code/input stamp(s) in subfield $a. Media codes will be validated against the UMS list.
$n Note, in the form nnn.t where nnn is a 3-digit code, "." separates code from text, and t is up to 60 characters of note text. Will apply to all items listed in subfield $b. Notes suitable for inclusion in subfield $n include:
999 Call number note, displays in PAC as the second line of the call number
Example:  $n999.Photocopy
000 Status note, displays in PAC instead of "Not checked out" when holding has status Shelf
Example: $n000.Ask at desk
(none) Free text note, does not display in PAC
Example: $n.Purchased 6/92
$p Price. Will apply to all items listed in subfield $b.

SAMPLES

When entering data online, subfield $a is not labelled with delimiter and subfield code. However, OCLC records that arrive on tape or in the overnight transfer do have the first subfield of the 949 tag labelled $a.

  26. a. Caption term used as data. Enter as data rather than 
       as caption without data, e.g., "$d.index" rather than "$dh.".
    
    b. Range of years. Caption code "%" must be used if data 
       is represented as a range. Enter the ending year in 
       full, e.g., "$d%.1988-1990" rather than "$d%.1988-90". 
       The latter is not a valid range because the ending 
       number 90 is smaller than the beginning number 1988.
